Why this role matters:
We are looking for an expert in Smartsheet setup and integration, particularly with HubSpot and other tools relevant to construction project management. The ideal candidate will have extensive experience in workflow automation, data synchronization, and customizing Smartsheet to meet the unique needs of a construction company.
Key Responsibilities:
Smartsheet Expertise with Control Center:
- Build and optimize our Smartsheet Control Center setup for role-specific dashboards.
- Create project-level dashboards for financial performance and schedule tracking.
- Combine existing source sheets into an intuitive, streamlined system.
System Integration:
- Integrate Smartsheet with HubSpot CRM and QuickBooks Online to ensure seamless data flow across systems.
- Reduce or eliminate reliance on manual Excel and Google Sheets for reporting.
Optimization for Construction Workflows:
- Adapt tools to suit the unique demands of multifamily renovations and construction operations.
- Provide solutions for tracking job progress, change orders, and subcontractor performance.
Collaboration & Training:
- Work closely with the team to understand existing workflows and recommend improvements.
- Train staff on new tools and processes to ensure adoption and efficiency.
Support & Maintenance:
- Provide ongoing technical support and troubleshoot integration or functionality issues.
- Monitor system performance and recommend upgrades or enhancements as needed.
Timeline:
- Smartsheet Control Center: Fully operational within 2 weeks of project start.
- Integration with HubSpot and QuickBooks: Completed within the 2 weeks following Smartsheet setup.
- Goal: All systems operational before January 31, 2025.
Ongoing Support:
- Weekly tasks post-launch to refine and build out KPI trackers and dashboards.
- Potential for additional projects if experience with construction companies aligns with our needs.
Qualifications
- Proven experience with Smartsheet, including Control Center.
- Experience integrating HubSpot CRM and QuickBooks Online with Smartsheet.
- Strong project management and dashboard-building skills.
- Excellent English proficiency for clear communication.
- Availability for meetings during Eastern Time (ET) business hours.
- Provide a screenshot of your Smartsheet "Browse" folder showing the organization of your sheets/workspaces and any specific Control Center applicable folders/sheets listed out.
